中科院计算所四位研究生参加了YOCSEF高性能计算机高峰论坛,并写出了参加社会公益性活动的文章,现刊登如下。
我在YOCSEF当志愿者的经历

我在YOCSEF作志愿者时间并不长,掐指算来只有10天的时间。而且也算不上完全志愿,孟丹老师的指定才是最主要的原因,但是这短短的时间给我留下深刻印象。按我以往组织或者参与此类活动的经验,这种活动一般是虎头蛇尾豆腐腰,活动之前造一番声势,宣传一下自己的活动如何重要,然后从关系单位或者利用特别吸引眼球的礼品拉到足够的听众。一旦活动开始就是冗长的报告和照本宣科式的演讲,会议尚未结束听众已经走了大半,剩下的人也都在等着会议早点儿结束。如此重复多次,感觉上已经成为会议的定式。
12月4号杜子德秘书长叫我们去开会,听了杜秘书长一番话,立刻感觉到这次活动不同之处。杜秘书长除了安排任务外,提出了YOCSEF与其它活动的不同之处:我们的题目都是精心选择的;We are very organized。在我们的活动中,每一个活动细节都经过仔细的推敲,都有多年活动积累下来的,约定俗成的惯例。从一个小小的,要求从两米之外看清来宾身份的胸卡到会议中特约讲者的带有YOCSEF标志的礼物,都经过深思熟虑,都有YOCSEF独特的与众不同的视角在里面。在活动的组织上,杜秘书长并没有手把手的教我们如何去实施每一个步骤,而是充分激发我们的潜能,给我们充分的授权,让我们放手去做;言语不多却能感到充分的信任。我们也没有辜负杜秘书长的期望,因此得以在10天的时间内召集起超过预定人数的有效听众,到了报名的截止日期,由于条件限制,我们不得不非常惋惜的拒绝掉许多慕名而来的听众。
在这10天的时间内,我学到不少书本上学不到的东西,无论是在发动和宣传活动上还是在组织和安排活动内容上,我都受益匪浅。首先,一个活动的有效宣传最重要,要知道你的听众是哪些人,什么人会对你的主题感兴趣;其次,活动的组织安排要正式,每人一个胸卡,增加不了多少会议成本,但是可以提高听众对会议的认同感;第三,对于会议的来宾要引导他们按照预定的方式活动,在他们出场之前要做必要的准备工作,直到他们知道下一步如何活动,否则可能造成混乱的局面;第四,在某些重要地方,每一个细节都要提前预定,例如讲者的次序和演讲时间,必须按指定的次序在指定的时间内完成报告,否则即便是很重要的人物也必须截止。当然,选择有价值和有意义的会议主题是召开一个成功论坛的前提与基础,听众对高性能计算的兴趣才是参加此次论坛的主要因素,我们的安排与活动,旨在于让听众与讲者舒舒服服的参加活动。
我对YOCSEF的组织能力和论坛选题极为钦佩,对能够成为YOCSEF的志愿者服务这样一场盛会而荣幸。如果一定要我提什么建议的话,我希望能够给论坛的志愿者一个小小的纪念品,例如有刻有YOCSEF标志的小硬币,这不仅是YOCSEF志愿者的一种荣誉,也是志愿者对这段工作的一个纪念。

Report on my experience as a volunteer in YOCSEF

Although I heard thanks form Mr Du and my mentor Meng Dan more than once during and after the organization of this meeting, in fact, I believe I should say “thank you” to all of them for giving me this valuable opportunity to enlarge horizon and enhance ability. Now, I’d like to conclude this work from two aspects: to retrospect the whole process and to say my own feelings.
There do exist some problems deserving to be mentioned here during the whole process, and I classify them into four types. The first is what I call “good plan, well done”. It is obvious that we have a good control on time with steady paces. For example, we had obeyed our plans strictly on when to contact with speakers, when to publicize posters, when to print permitting cards and when to arrive the hotel on that morning. All these are well done because of good plan from Mr. Du and because of his incisive instruction of “on the control”! The second is what I call “good plan, badly done”. Three issues belong to this type: the control on attendance number, the print of cards and the method of sorting the cards to select them quickly. We must admit that we do meet some troubles on these issues even though we have strengthened them in our plan. The third is what I call “no plan”. It would have been better if we mentioned clearly the limitation on population or the deadline to register in the poster, which incurred some complain from some students. The forth includes some suggestions. I wonder we may smoothly solve the problem of register that morning if we use a computer to find the name and the card of attendance. In addition, it may be more efficient to give another email address for register rather than Dr Meng’s, who is too busy to check it.
Furthermore, I plan to share my feelings with you in this part. Thanks to Mr du, I learned how to contact with different people by different ways. I know that just to worry, wait and angry is no use, and to finish the task by all ways is our goal. I can’t remember how many times I sent email to them and dial them when I was responsible for contacting with the companies. However, I know I’m not in vain for my hard work when Mr Li from Intel came to me after lunch that day and say apologize for that he couldn’t response to my requests in time for business. Also, he talked with me about his work and gave some valuable suggestions on my research. I think we are friends now! Meanwhile, I saw the great power of cooperation from the experience of organization. The spirit of cooperation will benefit me through my whole life. At last, I would give the highest respect and evaluation to Mr Du and all those who work for YOCSEF year after year. Without your hard work, we cannot enjoy so many good forums and meetings. Only when I help to organize this forum, can I realize the huge work and complexity behind the stage you have overcame. So, thank you!

- 对待领导不卑不亢,认真回答问题,适时为YOCSEF和计算所做宣传
败(总结经验教训,积极改正):
- 胸卡不应分开,应该集体按拼音排序,便于查找
- 签到的表格上应该明确标出有无胸卡,避免不必要的查找工作
- 空白胸卡数量远远不够
- 对报名截至日期之后报名的集体(如北邮,北理学生)态度不够强硬
- 对临时与会的人员数量估计不足
- 宣传途径杂乱,报名截至日期没有明确表明,入会人员名单分类不明确

My Uncommon Experience In YOCSEF

The past week was a busy and exiting one. I could get a close touch with YOCSEF and know much about how to organize a successful meeting. Here, I am ready to describe what I got, what I experienced and what problems I met in the course of organizing the meeting.
First of all, to be honest, I admit that I used to hate any work about management. So, at the beginning, the only reason that I accepted the task was because it was my mentor's business, hence it was my business. I must finish it. But after the hard work, when the meeting was over, when Mr. Du expressed his appreciation to our work and when an important guest in the meeting held my hand and thanked my warm welcome, I realized we had done an significant work and felt very happy.
Second, I really got a lot of experiences about how to organize a meeting or other activities. It is not difficult, but needs careful preparation and consideration. Anything out of your consideration will be out of control. For example, because we did not deal with the control work, the number of people who took part in the meeting was beyond the limitation of what we could accommodate. Although it had a perfect end, it was also a dirty point of the preparation.
Third, the biggest gain from the meeting is that I made some new friends, one of whom is a doctor from Tsinghua University, famous in the filed of grid research. In the break time, we got a chance to have a good talk and would keep in touch later, which really contributed with my future research.
Finally, my carelessness, which used to be my biggest problem, caused a huge mistake. In the Saturday morning, I forgot to bring the blank card to the meeting hall! Fortunately, I had time to fetch it. But it was absolutely a good lesson. Carelessness is a fatal enemy of my work. In programming, I might take a whole day for a careless bug.
In conclusion, although it had taken me a lot of time and power to serve the meeting, I got many experiences, learned much and made some new friends. The most important point is that we opened a successful meeting and I could share the happiness.
About the author: He got computer science bachelor degree at Dalian University of Technology in 1999. Then, as a master student, entered the Academy of Launching Vehicle Technology, where he got a master degree and worked for a year. In October 2003, became a doctor student in ICT.
